Position Summary/Purpose of Position:

This position will work under the general direction of the Senior Manager, Cost Controls & Reporting and will be responsible for the administration of work related to cost control functions for the Renovation Services unit as it relates to the procurement of design and construction services, and the monthly review and preparation of reporting for projects designated to be less than $1M. Primary responsibility will be preparing and processing requisitions and contract change order requests in e-Builder and the University’s financial systems (Kuali Financial System (KFS) and WorkDay) for all project services and equipment. Processing will be expedited to ensure timely responses and follow proper due diligence established by Procurement & Business Services (P&BS).
The Coordinator will maintain full knowledge of the procedural requirements for the preparation and delivery of the department’s monthly program briefing report. The Coordinator will be responsible for the delivery of ad-hoc reporting to project management staff using e-Builder report functionality and other system platforms. The Coordinator will interact with an array of internal and external customers on behalf of associate/assistant directors, compile project documents from e-Builder, summarize trends and facts of project data with tables and charts, and perform basic mathematical computations using MS excel spreadsheets.

Minimum Qualifications:

Education:
  • Bachelor’s degree or equivalent experience required. [Equivalent experience, in which one has gained the knowledge, skills, and abilities required for full performance of the job duties, may be substituted for the educational requirement on a year-for-year basis with 30 college credits being equivalent to 1 year of experience.]

Experience:
  • With degree, minimum of two (2) years of progressively responsible experience, which includes administrative/financial staff work with proficiencies in the use of Microsoft Office Suite. Without degree, minimum of four (4) years of experience.

Knowledge, Skills, and Abilities:
  • Knowledge of methods and competency in techniques used in collecting, compiling, and organizing data and information.
  • Competency in the use and navigation of web-based databases and software platforms.
  • Competency with MS Excel and Word to present statistical material in a professional manner.
  • Understanding of basic budgeting, cost accounting, and purchasing/procurement standards and practices.
  • Ability to meet strict deadlines.
  • Ability to perform basic analytical and cost reconciliation, progress measurement and cost forecasting.
  • Ability to effectively communicate (in oral and written form) and to use a computer for email, correspondence, report and automated project management systems; and to handle sensitive materials with discretion and tact.
  • Ability to function in a team oriented environment, taking on new tasks with enthusiasm and energy, working independently to handle multiple tasks and follow set priorities.

Preferences:

  • Financial experience in a cost accounting environment.
  • Bachelor’s degree in in Business Management, Finance, Accounting, Construction/Project Management or related field.
  • Previous experience using database applications, pivot tables and macros to generate reports.
  • Previous experience working in a higher education environment.

Additional Certifications:

Although driving a State Vehicle is not a requirement for this position, travel by foot or vehicle may be required from time to time for meetings, deliveries, etc. across campus. If driving a State vehicle, incumbent must possess a valid class C Driver’s license or equivalent with fewer than six points.

The hiring range for this position is $50,802-$63,503.
